Apologies for some students not receiving the password link in recent days - tried to minimise any disruption when configuring the system. Very limited impact.
All configuration now complete, should be no more disruption.
Some test Accounts/Enrolments created to test configuration - all marked as Cancelled.
Activation Process:
Student sent unique link by email or on a document.
Click on the link, goes through to the Student Registration page:
The link is currently directing to the Student Portal (Classic); simply needs to be changed to the Learner Portal (Lightning):

Field is pre-filled with email address from Student Contact if present; alternatively student can enter their email address. Press Activate.
Student is sent the Welcome Email specific to the portal (currently only Student Portal Welcome Email active):
Classic Email Template - can be customised.
Student clicks on the link - goes through to Change Password page:
Student enters password and is taken through to the portal.
They can now use the same username and password to log in to either portal, by going to each different login screen:
Notes
Both portals are currently active - you can login to either through the Student Contact record to check what they see.
Existing students do not need a new username/password - they can login to the new portal with their existing credentials by going to the Learner Portal login page.
If Enrolment is cancelled, then the User profile is changed to Online Booking, therefore preventing access to the Portals.
Actions
Client changes to the new Lightning Portal
Client to send through any content changes on Project ticket. Include wording, links, formatting, images (if applicable).
Client to send through sign-off of content when changes complete.
ACTION: Ben to send through changes to tabs with new images, links, text.
ACTION: Ben to test content/functionality using sample students, to check Documents, Questionnaites, eFlex. Send any issues on project ticket, or sign-off if all OK.
Changes to the Welcome Email
Client to send through any content changes on Project ticket. Include subject wording, content wording, sender name, sender address.
Client confirmed all OK in meeting, no changes required.
Plan of switchover:
Schoolworks: simple change to deactivate Student Portal Welcome Email and activate Learner Portal Welcome Email. Can do anytime.
LSE:
Change email templates
Change document templates
Check website links

Agree how long to keep Student Portal active (not time sensitive if you would like to keep it active for a longer period).
Agreed to keep Classic portal active until at least the end of June. LSE to send ticket to request deactivation when ready.
Update ticket with budget sign-off (16h) - 14h spent to date, 2h remaining for changes/switchover.

Client would like to amend text that appears after Activation button pressed.
Currently reads “Hey! the activation of your account is almost done. Please follow the instruction in the email we have sent you to finish the activation. Remember to check your spam/junk mail box.”
ACTION: Faeza/Ben to send through required text.
