General Project Notes
Student feedback priority over Lightning Teacher Portal.
eFlex - Ellie should have sent API details this week. Rich to chase Brett; if not, escalate to Ben.
Valuetext higher priority. Shirley to snd through meeting invite.
New ticket for IT bookings not receiving PCQ.
(Rich adjusted priorities on project space, to review at next Project Meeting)
Feedback - Current Situation
Shirley: Currently have no final feedback coming through.
Report Weekly Feedback sent through every Friday.
Includes Mid-Course Feedback and End of Course Feedback.
Shirley thinks two problems:
End of Course Block Feedback belonged to Westcroft and was changed in haste due to COVID. Services not all ticked.
Been left a long time, so needs a review, and would also like changes made to questions/timing.
Two kinds of feedback:
Mid-Course Feedback (Weekly Course Feedback)
Brief questionnaire questions
Would like the following (but in system currently, there are different questions):
Sent via email with a live link
Should be for everyone on active course codes, defined by the tickbox on the Service - mixture of Courses and IT, online and F2F. Different Schools?
Should not be for LEN+TOL, IEL, LEN
Some submissions being received, but would expect a lot more.
Possibly not receiving email, and only those who see it in their student portal are completing it.
Potential problems:
Are all students having the Test generated for them?
Are all students receiving the email with the link to complete?
Is it visible in the Student Portal for all?
Is there a problem with the link, that an error is shown?
In “old” method, mid-course feedback was sent every week. Client feels this is too frequent, students don’t want to respond every week.
Rules of when students should get this:
Would like it to be sent in two use cases:
In the “middle” week of each Course/IT Booking
When/If Course type changes
Also:
4 week Enrolment length minimum - shorter stay students should not receive it
If leaving, shouldn’t receive the questionnaire.
Scheduled report with results every Friday to internal staff (to be defined)
Triggers are working on low-feedback score to notify key users to take action.
Would need to be looked at again if questions are changed.
Final Feedback (Full Course Feedback)
One long test using Hide/Reveal triggers in place on questions depending on Bookings
Client would like to make changes to existing questions.
Ben to send spreadsheet with questions.
Some dynamic questions, based on Booking - online or F2f, accomm or not, home tuition or not.
Services may need a review.
Sent to all students at the Enrolment End Date-1 - i.e. emailed Thursday morning before 8am (or overnight on Weds of leaving week)
Currently not receiving any submissions. Not sure of the Tests are being created or not - some are but some aren’t.
Would like a reminder email sent after they have left maybe one week later if they have not completed the questionnaire.
Other Notes
Switchover from old questionnaire to the new:
Ben: current situation is so bad, so little feedback is being collected, no problems to switch off for a couple of weeks in order to make changes for new system.
Currently in system, there are multiple feedback forms.
All can be deactivated, aside from Mid-Course and Final. Just need two going forward.
Actions
Ben to review the Active Course/IT Services.
Ben to send through spreadsheet on fresh Projects ticket (to use for comms going forward)
Rich to review requirements of project to scope out estimated time for completion, for Shirley/Ben to sign-off on work.
Try to complete before project meeting Wednesday.
