How to send broadcast messages

This guide provides step-by-step instructions for sending and managing broadcast messages.

Introduction

The broadcast messaging feature in x-hoppers enables you to send instant and scheduled messages to store associates through their headsets. These messages are delivered both as audio notifications directly to their headsets and text notifications, accessible via a mobile app or a web application.

Requirements

  • x-hoppers system on WMS 7.0X and higher

  • A broadcast configured in x-hoppers admin -> Broadcasts. To deliver text notifications, enable the Transcription option

Configuration

Import a dedicated Dialplan procedure

Before creating broadcast messages, you need to import the dedicated Dialplan procedure, required for sending the messages to employees.

  • Download the provided procedure: xhop_process_smart_notifications.bkp

  • Access x-hoppers admin and navigate to Dialplan menu, Dialplan rules tab

  • Click Import, select the procedure and click Apply to finish

Once the Dialplan procedure is imported, you can proceed with the further configuration.

Add messages

Access x-hoppers admin and navigate to Broadcasts menu, Messages tab. You can choose between:

  1. Instant messages: Delivered immediately to selected broadcasts

  2. Scheduled messages: Delivered at specific times with optional recurrence

Instant messages

The option allows you to deliver instant messages to store associates.

To send an instant message:

  • Enter your message to the Write a message field

  • Select the target broadcast(s)/ tag(s) from the Select channels drop-down list

  • Click SEND to deliver the message instantly

Scheduled messages

The option allows you to deliver messages at specified times and on a recurring basis if needed.

To schedule a message:

  • Click + ADD to create a new message

  • Select channels: Choose the target broadcast(s)/ tag(s) to send the message to

  • Repeat: Specify a a recurring period:

    • Send once

    • Repeat daily

    • Repeat weekly: Choose specific weekdays

    • Repeat monthly: Choose a day (1–31)

    • Repeat yearly: Choose a month and a day

  • Date and Time: Set the specific date and time for the message to be sent

  • Timezone: Select the appropriate timezone for accurate scheduling

  • Message: Enter the content of your message

  • Click ADD to save the message

Broadcast messages management

After adding messages, you can manage them using the following options:

  • Select (1): Select one or multiple messages for batch deletion

  • Delete (2 and 6): Remove selected message(s) from the system

  • Search (3): Find specific messages by keywords

  • Update status (4): enable or disable message delivery

  • Edit (5): Modify the details of the message as needed

User case 1: Efficient message broadcasting for real-time store coordination

As a: Retail administrator
I want to: Broadcast messages to store teams, either ad hoc or on a pre-scheduled basis, and use a message drop feature to ensure important updates are heard when an employee first engages with their headset.
So that I can: Share critical updates, coordinate tasks, and ensure all staff are informed without disrupting operations unnecessarily.

Acceptance criteria:

  1. I can send urgent, real-time messages to all store associates to address emergencies like system outages or unexpected customer demand surges.

  2. I can schedule messages in advance to remind teams of promotions, procedural updates, or meetings.

User case 2: Empowering store teams with timely communication

As a: Store manager
I want to: Send targeted messages to my team members, ensuring they are informed about daily priorities and customer feedback, either immediately or when they first sign in.
So that I can: Improve team coordination, reduce errors, and enhance the customer experience by aligning the staff with store goals.

Acceptance Criteria:

  1. I can quickly share updates about daily goals, such as sales targets or inventory focus areas, at the start of each shift.

  2. I can use the message drop feature to notify store associates of individual responsibilities as they join their shift.

  3. Emergency messages can override regular broadcasts, ensuring store associates are prepared to address urgent situations like supply delays or customer complaints.
